What you should know about the digital work card
What the Digital Work Card is
It is the real-time system through which the start and end of each employee's work is declared to the Greek Ministry of Labour's ERGANI II platform, under law 4808/2021. Keeping hours internally is not enough: the entry must reach ERGANI as it happens.
Why spreadsheets no longer work
A timesheet does not submit a card, does not hold a protocol number and cannot prove when it was filled in. In an inspection, what matters is the trail: which entry was declared, when, and what the system answered.
No silent losses
The most common failure in these integrations is entries lost without anyone noticing. In Profferio every submission attempt leaves a record even when it fails, and "never asked" is explicitly distinct from "not subject to the card".

Does Profferio really connect to ERGANI II?
Yes. Clock-in and clock-out cards are submitted to ERGANI II and the protocol number returned by the system is stored next to the entry. Profferio also reads the workforce registry and declared work schedules per establishment back from ERGANI.
How do employees without a company account clock in?
With a tablet at the entrance: the employee scans a personal QR badge and types a PIN. No email, password or personal phone is required. If the network drops, punches queue locally and are sent once connectivity returns.
Can I prevent clock-in away from the workplace?
Yes. You set a geofence radius per establishment and clock-in is allowed only inside it. There is also a block for employees on leave or outside their declared schedule.
What happens if an ERGANI submission fails?
The failure is recorded with the message the system returned and the entry stays visible as pending so it can be resubmitted. No failure passes silently.
Does it cover overtime, leave and shifts?
Yes. The same system holds shifts, days off, leave and overtime, and computes each employee's expected hours so deviations surface without manual comparison.
Do I need the whole platform or just the card?
You can start with time tracking and ERGANI only. Ticketing, contact centre and chat are enabled whenever you need them, on the same users.
Where is the data stored?
Either in our cloud or on-premise on your own servers. In both cases the platform is built to GDPR and has passed a penetration test.
